Who we are

Koko Doko Japan provides Japan travel-planning services, itinerary reviews, personalised travel plans, digital guides and other travel-planning resources.

In these terms, “we”, “us” and “our” refer to Koko Doko Japan. “You” and “your” refer to the person using our website or purchasing a product or service.

What we provide

We provide Japan travel-planning products and services, which may include:

• Itinerary Checks
• Personalised Japan and Golden Route planning
• Japan Travel Buddy message support
• Digital travel guides
• Planning resources and downloadable products
• General Japan travel information and recommendations

The exact inclusions of a paid service or product will be shown on the relevant product or service page before you purchase.

We only agree to provide what is described as included in the product or service you purchase.

We are not a travel agency

Koko Doko Japan is not a travel agency, tour operator, booking agent or emergency travel service.

Unless we specifically agree otherwise in writing, we do not make bookings for flights, hotels, trains, restaurants, tickets, attractions, activities, transport or travel insurance on your behalf.

We provide planning guidance and recommendations. You remain responsible for your final travel decisions, bookings and arrangements.

You should check important and time-sensitive information with the relevant official provider before booking or travelling.

Planning services

When you purchase a planning service, we will provide the service described on the relevant service page at the time of purchase.

Depending on the service, this may include itinerary feedback, route and area recommendations, pacing advice, accommodation-area guidance, travel-day notes or other written recommendations.

Our work is based on the information you give us and the travel information reasonably available when we review or create your plan.

A travel plan or Itinerary Check is guidance rather than a guarantee that every part of your trip will happen exactly as planned.

We may also offer Japan Travel Buddy Support, which provides friendly, non-emergency message support during agreed dates while you are travelling in Japan.

Travel Buddy may include help with things such as train routes, signs, menus, hotel messages, luggage lockers, ticket machines, simple Japanese phrases and other everyday travel questions.

The exact support dates, availability, scope and price will be confirmed before payment. The service is normally provided online by message. In-person support in the Tokyo area may occasionally be available where specifically agreed in advance, but is not guaranteed.

Travel Buddy is not an emergency service, medical service, legal service, professional interpreting service, tour-guide service or guaranteed instant-response concierge.

Information you give us

To provide a personalised service, we may ask you for information such as your dates, destinations, existing itinerary, accommodation plans, interests, travel pace or priorities.

You are responsible for making sure the information you provide is accurate and reasonably complete.

If important information is missing, incorrect or changes after we have started or completed the work, our recommendations may no longer be suitable.

Digital products

Digital products may include PDFs, guides, planners, checklists, templates or other downloadable resources. No physical product will be posted unless explicitly stated.

You are responsible for providing the correct email address where necessary and for downloading and safely storing any files supplied to you.

Digital products are supplied for personal use only. You may share them with people travelling with you, but you must not resell, publicly distribute, upload, reproduce commercially or claim our materials as your own.

Unless otherwise stated, all copyright and intellectual property rights in our original guides, plans, written materials and templates remain with Koko Doko Japan.

Prices + payment

The price applicable to your purchase will be shown before you complete payment.

We may change our prices, products, discounts or promotional offers in the future. Changes will not alter a purchase you have already completed.

Japan Travel Buddy pricing may vary depending on the support dates, number of days, location and type of support requested. The final price and service scope will always be confirmed with you before payment.

Payments may be handled by third-party payment providers. Their own terms and privacy policies may also apply.

Cancellations + refunds

Your cancellation and refund rights depend on what you purchase, whether delivery or work has begun and the consumer laws that apply to you.

For digital products supplied immediately, you may be asked to consent to delivery beginning before the end of any applicable cancellation period and to acknowledge that your right to cancel may be lost once supply begins.

For personalised services, if you ask us to begin work during an applicable cancellation period and later cancel, we may be entitled to charge for work already completed where permitted by law.

Any additional refund or cancellation conditions shown on the relevant service page or Refund Policy should be read alongside these terms.

Travel information changes

Japan travel information can change after we create a guide, review an itinerary or make a recommendation.

This can include opening hours, prices, tickets, transport schedules, booking systems, attraction access, restaurant policies, weather disruption and local rules.

We do our best to provide useful information, but we cannot guarantee that third-party information will remain unchanged after delivery.

You are responsible for checking important information with official providers before relying on it.

Third-party services

Our website, guides and recommendations may contain links to maps, transport providers, accommodation, restaurants, attractions, booking platforms or other third-party websites and services.

We do not control those providers and are not responsible for their prices, availability, policies, content, cancellations, service quality or technical problems.

Any purchase or booking you make with a third party creates an agreement between you and that provider, subject to their own terms.

Responsibility + liability

You are responsible for your own bookings, travel documents, insurance, safety, health, belongings, spending and decisions while travelling.

To the fullest extent permitted by law, Koko Doko Japan is not responsible for losses, costs, delays, cancellations, missed bookings, disruption or other problems caused by events outside our reasonable control or by third-party providers.

Nothing in these terms excludes or limits any liability that cannot legally be excluded or limited, or any statutory consumer rights that apply to you.

Using Koko Doko

You agree not to misuse our website, products, intellectual property or services.

We may refuse or stop providing a service where there is fraud, misuse, harassment, threats or abusive behaviour. Where a paid service is affected, any cancellation or refund will be handled fairly and in accordance with applicable law.

Privacy + communication

We may contact you by email where necessary to manage an enquiry, purchase, order or planning service.

Marketing emails are handled separately. Where you join a mailing list, you can unsubscribe at any time.

Our Privacy Policy explains how we collect, use and store personal information.

Changes to these terms

We may update these terms when our services change or where legal or operational requirements change.

The latest version will be published on this page with the date of the most recent update.

The terms that applied when you made a purchase will generally continue to apply to that purchase unless a change is required by law.

Governing law

These terms are governed by the laws of England and Wales.

If you are a consumer, nothing in this section is intended to remove any mandatory consumer protections or rights that apply to you under the law.
